We aim to continue contributing to the realization of a sustainable society through our work in the development and maintenance of social capital, including urban and regional planning,  environment, roads, railways, rivers, water supply and sewerage, ports, airports, architecture, welfare, information, PFI, NPM, and disaster prevention.

In the performance of contract work with the client, we may receive or obtain personal information from the client for the purpose of conducting questionnaires and hearing surveys, compiling opinions from residents, building and maintaining databases, ascertaining the facts of land ownership in the implementation of public works projects, and holding committees that include residents and experts. The following is a list of the data that we receive from our clients.

In consideration of the importance of protecting personal information, and taking into consideration the nature of our business, which is of a highly public nature, and the scale of our business, which has government agencies and private companies as its direct customers, but ultimately has the general public as its customers, we have established the following policy on personal information protection and will strive to protect personal information appropriately.

1. Acquisition, Use and Provision of Personal Information

We shall acquire personal information by lawful and fair means after clarifying the purpose of use, uses personal information within the scope of the purpose of use and takes measures to this end. Furthermore, we will not provide personal information to third parties except when we have obtained the consent or approval of the individual, when disclosure or provision is required by law, or when we provide to third parties such as our affiliates, order takers, and contractors to the minimum extent necessary to achieve the purpose of use.

2. Thorough Security Management Measures for the Personal Information

We will take the necessary and appropriate measures to protect the safety of personal information such as protecting the accuracy and safety of the personal information to be handled and preventing unauthorized access, leakage, alteration, loss or damage and others. The personal information management system will be rectified when deemed necessary. In the case of entrusting the personal information, the person in charge of maintaining the confidentiality of the personal information will be established under strict supervision. With regard to measures for the safe management of retained personal data, including the provision of personal data to third parties in foreign countries, the necessary measures, such as obtaining consent and providing information, will be taken in accordance with the provisions of the law.

3. Management of Entrusted Personal Information

We recognise the importance of protecting the personal information entrusted to me by the client in connection with my work and will use and manage it appropriately.

4. Compliance with Laws and Regulations Related to Personal Information

We will strictly comply with the "Act on the Protection of Personal Information" and other related laws and ordinances, policies established by the government and other norms for the handling of personal information.

5. Implementation of the Continuous Improvement of the Personal Information Protection Management System

We will establish and implement internal management regulations for the protection of personal information, inform and educate employees about these regulations, conduct regular audits, and make continuous improvements.

6. Response to Complaints

Any complaints or inquiries regarding personal information will be handled appropriately through Personal Information Management Center.

7. Disclosure of Policy

We will post this policy and make it known to all employees. We will also make it available on our website.

Handling of Personal Information

The following is established for the handling of personal information by our company.

1. Purpose of Acquisition and Use

We will clarify the purpose of use of the personal information and then collect the personal information within the scope of such purpose. Also, the personal information will be used only within the scope of the purpose of use

(1) When acquired directly from the individual

  • Customer (orderer) personal information
    For communication, negotiations, contract execution, performance requests, business greetings, etc. regarding business operations
  • Contact information for business partners (contractors and contractors)
    For communication, negotiation, contract execution, performance requests, membership activities, confirmation of business details, and credit management

(2) When acquiring personal information from a source other than the individual, such as a business partner

  • Personal information held by the client and provided in the course of the contracted work
    To carry out commissioned work
  • Personal information of job applicants (provided by job search sites, etc.)
    To contact job applicants and manage our recruitment operations

We may provide the personal information to third parties, such as our affiliated companies, clients, and contractors, to the extent necessary for the above purposes.

2. Provision to Third Parties

We will not provide personal information to third parties without prior consent, except when we have obtained the consent or approval of the individual, when disclosure or provision is required by law, or when we provide the information to third parties such as our affiliates, clients, or contractors to the minimum extent necessary to achieve the purpose of use. With regard to the security control measures of personal information, including the provision of personal data to third parties in foreign countries, we will take necessary measures, such as obtaining consent and providing information, in accordance with the provisions of laws and regulations.

(1) Formulation of Personal Information Protection Policy

  • We have established Personal Information Protection Policy based on our management policy and the demands of society, and strive to protect personal information appropriately.

(2) Establishment of rules regarding the handling of personal information

  • We have internal regulations that stipulate the handling method, responsible persons, and their roles for each stage of handling personal information.

(3) Organizational safety management measures

  • Regarding the handling of personal information, we have established an organizational structure and have defined the roles of personnel in charge as well as the responsibilities and authority for each role through internal regulations.
  • We have established an emergency contact system in case an emergency such as the loss or leakage of personal information occurs or the possibility of such an occurrence is recognized.
  • We regularly conduct self-inspections of how we handle personal information and have established a system of internal audits.

(4) Personnel safety management measures

  • We provide regular training to our employees to ensure the protection of personal information.
  • When hired, employees are required to submit a pledge not to leak personal information during their employment or after leaving the company.

(5) Physical safety control measures

  • Offices are locked and entrance/exit controlled according to security level classification.
  • We take measures to prevent the theft or loss of media containing personal information, and dispose of personal information that is no longer needed in an appropriate manner depending on the type of media.

(6) Technical safety control measures

  • We manage access authority for personal information and limit the range of employees who can access personal information.
  • We have established mechanisms to prevent unauthorized access from outside and information leaks.

7. Requests for Disclosure, etc.

Inquiries regarding personal information subject to disclosure, as well as requests for personal information disclosure, correction, addition, deletion, suspension of use, erasure, notification of the purpose of use, suspension of provision to a third party, and disclosure of records of provision to a third party, will be handled in the following manner.

(1) To make a request, please send the prescribed application form (please contact the Personal Information Management Center to obtain the form) together with the necessary documents to the following address by mail. Please note that the applicant is responsible for postage costs.

(2) To request disclosure of necessary documents (not required for the public announcement of matters related to personal information subject to disclosure) , please submit the following application forms (1), (2) and (3).

  1. Request form: Request form for personal information to be disclosed
  2. Documents for identity verification: Copy of an official document (with photograph) such as a driver's license (Registered domicile part can be blackened out. Same for other documents.), 1 copy
  3. Individual's certificate of seal-impression (within 1 month of issue), 1 copy

If the request is made by a representative, please submit the documents below in addition to documents (1), (2), and (3) above.

A. In case of a legal representative

  1. Document confirming the legal representative right (copy of family register, copy of health insurance card describing the dependents in case of a person in parental authority, and the like), 1 copy
  2. Representative's certificate of seal-impression, 1 copy
  3. ID document to confirm the legal representative individual (copy of an official document (with photograph) such as the legal representative's driver's license, passport, etc.), 1 copy
  4. Certificate of registered matters for guardian, 1 copy

B. In case of an authorized representative

  1. A letter of attorney designated by our company (please obtain the format by contacting Personal Information Management Center) (stamped with the person's official seal)
  2. Representative's certificate of seal-impression, 1 copy
  3. ID document to confirm the authorized representative individual (copy of an official document (with photograph) such as the representative's driver's license, passport, etc.), 1 copy

Please note that when we disclose personal information or notify you of the purpose of use, we will charge JPY 1,000 for each application. Please enclose JPY 1,000 worth of postage stamps.

(3) Response method

Requests for disclosure of personal information, disclosure, correction, addition, deletion, suspension of use, elimination, notification of purpose of use, suspension of provision to a third party, and disclosure of records of provision to a third party will be answered in the manner requested. However, if you do not specify a method of request, or if disclosure by the method you specify would require a large amount of money, or if it is difficult to disclose by such a method, we will respond to your request in writing.
