Policy to prevent harassment of job seekers and others in recruitment activities
1. Introduction
Based on the "PACIFIC CONSULTANTS GROUP Human Rights Policy," our company promotes business activities that respect the personality, dignity, and human rights of all people. We recognize that respect for human rights is the foundation for putting our company mission into practice and contributing to the realization of a sustainable society, and that creating an environment in which all people involved in our business activities can participate with peace of mind is an important responsibility.
our company prohibits discrimination in the recruitment process based on race, nationality, ethnicity, age, gender, origin, religion, beliefs, social status, sexual orientation/gender identity, disability status, marital status, etc., and also prohibits all forms of harassment, including the following, to ensure a fair recruitment process.
- Unfair conduct using a position of superiority
- Sexual harassment
- Actions that hinder the freedom of job hunting (so-called "owahara")
- Any other words or actions that cause anxiety, disadvantage, or discomfort to job seekers, etc.
Furthermore, our company officers and employees (hereinafter referred to as "our company employees, etc.") are aware that they may be perceived as being in a superior position to job seekers, etc. during the recruitment process, and will strive to create an environment in which job seekers, etc. can participate in the recruitment process with peace of mind.
2. Definitions and Scope
In this policy, "job seekers, etc." refers to individuals who apply for positions at our company, as well as students, job seekers, and successful candidates who participate in our company recruitment activities, including internships, company information sessions, interviews, alumni visits, and post-offer follow-up (hereinafter referred to as "the Activities").
Furthermore, this policy applies to all our company employees who have contact with job seekers or other individuals involved in this activity.
3. Behavioral guidelines
(1) Rules regarding interviews, etc.
- One-on-one interviews with job seekers and other candidates will be conducted in our company offices, university facilities, open spaces, or other environments where visibility from third parties is ensured, while also taking into consideration the confidentiality of the interview content.
- As a general rule, we do not allow one-on-one dining or drinking sessions between our company employees and job applicants. Furthermore, we prohibit meetings primarily for the purpose of drinking, using one's position in the selection process to solicit participation in meals or social gatherings, and any other actions that coerce participation against the applicant's will.
- Personal contact and any contact that could lead to the establishment of private relationships are prohibited.
(2) Management of means of communication
- Communication between our company and job seekers will be conducted using our company email and our company devices. Furthermore, our company employees are prohibited from contacting job seekers via personal social media, personal email, personal mobile phones, etc., except in urgent cases, and are also prohibited from using job seekers' contact information for purposes other than those of this recruitment activity.
(3) Rules regarding internships
- our company employees are prohibited from making requests or giving personal instructions to job seekers that are unrelated to the internship activities.
- Excessive restrictions on job seekers by our company employees (such as activities during late nights and holidays) are prohibited.
- our company prioritizes the safety and security of job seekers and other participants when operating our internship programs.
(4) Prohibited matters
our company prohibits the following actions towards job seekers and others during this activity:
- Questions or discriminatory remarks that are not necessary for the hiring process regarding race, nationality, ethnicity, origin, religion, beliefs, social status, sexual orientation, gender identity, etc.
- Questions unrelated to the hiring process regarding personal matters such as romantic relationships, marital status, and family.
- Other questions unrelated to the applicant's aptitude or abilities
- Unnecessary physical contact, sexual remarks, and other acts that constitute harassment.
- Coercive, insulting, or demeaning behavior
- Inappropriate words or actions that imply preferential treatment or job offer
- Other words or actions that cause anxiety, disadvantage, or discomfort to job seekers, etc.
4. Education/Awareness
our company will deepen employees' awareness and understanding of harassment against job seekers, implement education and training on harassment prevention, and promote understanding and compliance with this policy. We will also inform job seekers about the consultation service and assure them that they will not be subjected to any adverse treatment for seeking consultation.
5. Response to violations
If any conduct that violates this policy is confirmed, our company will investigate the facts and take strict action.
6. Establishment of a consultation service
our company has established a consultation service for job seekers and others regarding harassment, and we have put in place the necessary systems to respond appropriately to consultations. If you have experienced harassment from our company employees, witness or hear about harassment by our company employees, or are at risk of harassment occurring, please contact the consultation service.
When providing consultation, we will take all necessary measures to protect the privacy of those seeking advice. Furthermore, we prohibit any detrimental treatment or retaliatory actions based on having sought advice, and whether or not you seek advice, or the content of your consultation, will not affect our company hiring process.
