We aim to continue contributing to the realization of a sustainable society through our work in the development and maintenance of social capital, including urban and regional planning,  environment, roads, railways, rivers, water supply and sewerage, ports, airports, architecture, welfare, information, PFI, NPM, and disaster prevention.

In the performance of contract work with the client, we may receive or obtain personal information from the client for the purpose of conducting questionnaires and hearing surveys, compiling opinions from residents, building and maintaining databases, ascertaining the facts of land ownership in the implementation of public works projects, and holding committees that include residents and experts. The following is a list of the data that we receive from our clients.

In light of the importance of protecting personal information, and taking into consideration the nature of our business, which is of a highly public nature, and the scale of our business, which has government agencies and private companies as its direct customers, but ultimately has the general public as its customers, we have established the following policy regarding the protection personal information.

1. Acquisition, Use and Provision of Personal Information

We will acquire personal information through lawful and fair means after clarifying the purpose of use, and will use personal information within the scope of the purpose of use and take measures to ensure this. Furthermore, we will not provide personal information to third parties unless we have obtained the consent of the individual or it is permitted by law.

2. Thorough Security Management Measures for the Personal Information

We will take necessary and appropriate measures to ensure the accuracy and safety of personal information we handle, to prevent unauthorized access to, leakage, falsification, loss, or damage to personal information, and to ensure the safety of other personal information, and will correct personal information management system as necessary. Furthermore, when outsourcing the handling of personal information, we will appoint a person in charge of maintaining the confidentiality of personal information and will strictly supervise such person. Regarding safety management measures for personal information, including when providing personal data to third parties in foreign countries, we will take necessary measures such as obtaining consent and providing information in accordance with laws and regulations.

3. Management of entrusted personal information

We recognise the importance of protecting the personal information entrusted to me by the client in connection with my work and will use and manage it appropriately.

4. Compliance with Laws and Regulations Related to Personal Information

In handling personal information, we will comply with the Act on personal information, other related laws and regulations, national guidelines, and other standards.

5. Implementation of the Continuous Improvement of the Personal Information Protection Management System

We have established internal management regulations for the protection personal information, and will implement these regulations, inform and educate employees, conduct regular audits, and make continuous improvements.

6. Response to Complaints

For complaints or inquiries regarding personal information, Personal Information Management Center will act as the reception desk and will respond appropriately.

7. Disclosure of Policy

We will post this policy and make it known to all employees. We will also make it available on our website.

Handling of Personal Information

Our company's handling of personal information is as follows:

1. Purpose of Use

We will clarify the purpose of use of personal information and collect personal information within the scope of that purpose. Furthermore, we will only use this personal information within the scope of that purpose, unless permitted by law. The purposes of use will be as follows and those that will be separately notified or announced.

(3) Organizational safety management measures

  • Regarding the handling of personal information, we have established an organizational structure and have defined the roles of personnel in charge as well as the responsibilities and authority for each role through internal regulations.
  • We have established an emergency contact system in case an emergency such as the loss or leakage of personal information occurs or the possibility of such an occurrence is recognized.
  • We regularly conduct self-inspections of how we handle personal information and have established a system of internal audits.

  • We take measures to prevent the theft or loss of media containing personal information, and dispose of personal information that is no longer needed in an appropriate manner depending on the type of media.

7. Requests for Disclosure, etc.

(2) Required documents (not required for the publication of matters related to personal information subject to disclosure) When requesting disclosure, etc., please submit the following documents ① to ③. If you are submitting a document that lists your registered domicile, please black out the relevant part so that it cannot be seen.

  • ① Application form: Application form for personal information to be disclosed
  • ② Documents for identification: One copy of an official document (with photo attached) such as a driver's license
  • ③ One copy of a seal certificate (issued within one month) for the seal stamped on the application form

If the application is made by a representative, they must submit documents A or B below in addition to documents ①, ②, and ③ above.

A. In case of a legal representative

  • (a) One document confirming legal representation (such as a copy of the family register or, in the case of a parent, a copy of the insurance card listing dependents)
  • (b) One copy of the representative's personal seal certificate (issued within one month)
  • (c) One copy of a document verifying the legal representative's identity (a copy of the legal representative's official document (with photo) such as a driver's license or passport)
  • (d) Guardianship registration certificate (issued within one month)

B. In case of an authorized representative

  • (a) A letter of attorney designated by our company (please obtain the form by contacting Personal Information Management Center) (stamped with the individual's registered seal)
  • (b) One copy of the representative's personal seal certificate (issued within one month)
  • (c) One copy of a document verifying the identity of the authorized representative (a copy of the representative's official document (with photo) such as a driver's license or passport)

Please note that when we disclose personal information or notify you of the purpose of use, a fee of 1,000 yen will be charged for each request. Therefore, please enclose 1,000 yen worth of postage stamps with each request. If the fee is insufficient, we will contact you. If you do not pay the fee within one week of contacting us, your request will be invalid. Please note that we will not refund the fee even if we do not hold the applicant's personal information or if we are unable to disclose the information due to reasons specified by law.

(3) Response method
